Last year, I took my tax info to my accountant and he looked at me like I was from Mars. I'm not. Although I can understand the mixup. I hate literally dumped pages and folders full of papers and crap and called it organized. Yikes. He told me to go home and try Freshbooks (affiliate) so next year we wouldn't have such a hard time getting all this info together. I was hestitant because I had tried it before and I really didn't like it, but a few years had passed. And oh yes, you could absolutely see the growth after some time in operation. Freshbooks was now functional, beautiful and ready to make me more money more simply. Here's a few reasons why you really need to integrate it into your small business accounting. 1. Time tracking is SO simple If you're selling your time, like me, and you need to be able to report hours to your client's bill, Freshbooks has it all built in. Whether you're using it on your computer or on your smartphone app, you can turn their time tracking timer on, assign to a client and it will go straight to their next invoice. Boom. 2. Invoices are personalized and beautiful You know how you're always Googling for invoice templates to find the right one you can just add your logo to? Look no further. Freshbooks has just that. It's perfect. It's personalized. And no need to edit all those silly fields in Excel. It's totally simple to change your invoice to the type you need to make sense to your paying client. 3. Auto and Recurring invoices give you more time for your business You may also charge a monthly retainer for your clients that is agreed for a set period of time. Set up your client information and the amount they owe every month and the date and it will automatically be sent to them. Even better, if it's the same rate every single month, you can set up recurring invoices and you literally never have to think about invoicing them every month ever again. Freshbooks will keep the accounting department running and invoicing your clients on time every time. 4. GET PAID without thinking I hate being told to go to my mailbox and watch for a check. So I just let my clients know they can easily pay online through the Freshbooks invoice and my Paypal integration. Amy, don't you have to pay a fee to use that? Yes. But that little fee that Paypal takes from my client payments is worth its weight in gold for me to not have to worry about a paper check, going to the bank (Hello! I live car-free!) or even entertaining a conversation with my client about how they'd like to handle. Do you want the work? Click the Paypal link and we're done. No more discussion. 5. Client stalking is seriously awesome If you noticed you're missing money in your account, maybe your client didn't pay their bill. Freshbooks will tell you in a list of all your invoices who has paid, who has looked at your invoice, and how hasn't even clicked to look at it. 6. Expense tracking is Freshbooks' gift to the world I don't know if I would like Freshbooks as much as I do if it weren't for the amazing way of tracking expenses. I just link my account with my bank accounts and all the transactions get reported to my expenses. 7. Studies show that small businesses with poor accounting records are generally destined to failure whereas businesses with good records have a much better chance of survival. So here are some common mistakes to avoid in keeping good records. Mistake 1: Not Balancing Your Records to Your Bank Account Reconciling to your bank statement ensures that everything that has gone through your bank has been included in your accounts. It's one of the first things that both an accountant and a tax auditor will look at. If you don't balance your books to your bank account: • your accountant or tax preparer has to do a lot more work meaning more cost for you • you may well be paying more tax than necessary as you could be missing expenses that could be claimed as tax deductions • you are at risk if you get a tax audit and the tax inspector will spend a lot more time drilling down into your affairs because they will not believe you have taken due care in keeping your records Be disciplined to balance (reconcile) your records to your bank statement every month. Mistake 2: Not doing the books often enough Bookkeeping is often a chore at the end of a long day. But doing your books regularly will save hours of time by not having to track details that you cannot remember. 10. Agreements. Whether they are service agreements, independent contractor agreements, subcontractor agreements, etc., most small businesses are going to need some sort of an agreement in place to operate safely (in the legal sense) and effectively. The type of small business you have will determine the types of agreements you will need to have in place. For example, as an attorney, I have a service agreement (called an Engagement Letter) with each and every client that makes it clear what I am going to be doing for the client, my fees, how the client can expect to be billed, what I expect or need from the client, my policies that affect the client, what happens if there is a disagreement between us, and so on and so forth. Most, if not all, small businesses that provide a service to their customers should, at a minimum, at least have a similar type of service agreement with their clients. It protects both the small business and the client. 9, 8, & 7. Licenses. Specifically, Tax Licenses, Business Licenses, and Other Licenses. Honestly, they are all equally important and depend largely on the nature of your small business. 6. Form 2553 (S Corp). This is the IRS form that needs to be filed if you want your small business to elect to be taxed as an S Corporation. Whether or not you need to file form 2553 is going to depend on whether it would make sense for you tax-wise to elect to be taxed as an S Corp. 5. Insurance (General Liability, Workers Comp, etc.). Every small business is going to need some type(s) of insurance. The type of insurance your small business will need also depends on what type of business you are operating. 4. Initial Resolution/Consent. Although this isn’t necessary (at least in Colorado) for all small businesses, it is usually a good idea to have an Initial Resolution or Initial Consent to Action when starting a small business in order to demonstrate that your business has adopted certain documents, like it’s Operating Agreement or Articles of Organization, and that you as the business owner have resolved to operate your business in accordance with those documents. 3. Form SS-4 (Federal Tax ID). IRS Form SS-4 Application for Employer Identification Number is the form that you file with the IRS to get a Federal Tax ID number (aka EIN or Employer Identification Number) for your small business. 2. Operating Agreement or By-Laws. Every LLC needs an Operating Agreement. Let me say that again in case you missed it: every LLC needs an Operating Agreement. Even if it is not required by statute (Colorado does not require it), it is still a vital internal document for your small business to have. An Operating Agreement is the internal document where the owner or owners (aka the members) agree on how the business is going to be operated, i.e., type and nature of business; what the business is going to do; how members are going to get paid; how distributions are going to be made; what will happen in the event of disagreement between the members; etc. All of this information is set forth in the Operating Agreement. The By-Laws of a corporation serve basically the same purpose as the Operating Agreement of an LLC. 1. Articles of Organization (or Articles of Incorporation). Every single LLC in existence must have Articles of Organization. I can say this with complete certainty because you will need to file Articles of Organization with the Secretary of State in order to create your LLC. Bottom line: if you did not file Articles of Organization, then you don’t have an LLC. Similarly, every corporation in existence must have Articles of Incorporation. The Articles of Organization or Incorporation are what brings the LLC or corporation into a legal existence. And a final bonus tip: If you are in the U.S. and you pay an independent contractor over $600, you're going to have to issue them a 1099. Make sure you have their W-9 form when they come on-board so you don't have to try and get it from them later! Margherita Sforza, euronews: "Vice-President, European industry is not doing very well. In 2012 the manufacturing sector, which accounts for just over 15 percent of Europe's GDP, contracted. We are far from your goal for European industry to contribute 20 percent of GDP by 2020. What's to be done about that straight away?" Antonio Tajani , European Commissioner for Industry: "We must believe in industry. It is unimaginable that we'll get out of this crisis without an industrial structure that allows Europe to create jobs. It's not enough to have strong action to reduce the public debt; that has to be accompanied by a real strategy for the real economy, favouring industry and developing the internal market." euronews: "The United States believes in industry. Thanks also to a drastic reduction in energy costs, it has managed to grow faster than Europe. The US has succeeded especially thanks to shale gas, obtained from fracturing rock. Is that an opportunity for Europe or a risk?" Tajani: "In my opinion, it is an opportunity. But we must assess how to use this without damaging the environment. It would be wrong for Europe simply to rule it out. We need to accelerate a technical-scientific analysis that could tell us how we could use this form of energy to make our system more competitive. The European Commission, at the request of the Council, is preparing a study for the end of this year on the impact of energy costs on industry." euronews: "Small and medium-sized companies are trapped in a difficult position between public administrations that don't pay these companies what they owe them and the difficulty of getting credit from banks. There is a European law that requires the public administration to pay its debts within 30 days but countries such as Greece and Italy take more than 150 days to pay. What will you do about this? You promised zero tolerance." Tajani: "I promised zero tolerance because just as citizens are required to pay taxes to the state it is equally important for the government to pay the companies that supply them. The term is 30 days, 60 in some cases. It is also important to pay off old debts that public authorities owe businesses. Italy is the most striking case, with approaching 100 billion euros in outstanding debt." euronews: "According to a European Central Bank survey this year, small businesses say the conditions of access to finance have got even worse, even though the European Central Bank issued new funds to help the banks. Why haven't the funds gone from the banks into the real economy?" Tajani: "The Banking Union should make it easier to use the money for businesses. We have reached an operating agreement with the European Parliament and the European Council to enable loans for SMEs of up to 1.5 million euros. The Basel III rules which require a reserve for each loan, wouldn't be applied rigidly. [Basel III (or the Third Basel Accord of 2010--11) is a global, voluntary Banking Supervision regulatory standard on bank capital adequacy, stress testing and market liquidity risk.] In other words, fewer reserves will be necessary for loans to small and medium-sized companies, to make more loans and easier loans accessible for small businesses. We have also decided to give more space to SMEs in the next EU budget, for 2014-2020, with the Horizon 2020 package and the COSME programme dedicated to small and medium-sized enterprises. [COSME is the EU programme for the Competitiveness of Enterprises and Small and Medium-sized Enterprises. Today I am going to talk about why the Internet is so important for getting customers for your business. How do you potential customers find you? How do potential customers find businesses when they are ready to buy? People no longer use the Yellow pages or the Newspaper. They go to one of the search engines and type their request in there. It has been shown that about 2/3rd of off-line sales are the result of online searches. So you may not be aware of the effect of your online presence. Imagine you own an Indian Restaurant in Penrith When would be the best time for people to discover your restaurant? When they feel like eating Indian, and when they are in Penrith. Because that is when they are most likely to buy from you. What will they type into Google? Not your name ... they don't know you yet. They would type in exactly what they are thinking about. They would type in ... "Indian restaurant Penrith" To get new customers, people need to be able to find you when they search for your products or services. If you can only be found when people are searching for your name, or only if they already know about your website, then you are only getting customers that have already decided to buy from you. They would get something like this. Notice the map on the right, it draws the eye first. See the red tags, we are naturally drawn to this and the extra information on a map. Notice this section at the top, with information that relates to the map, there are stars and reviews. These things will get the users attention. This area below are the natural results, this is what you would have seen last year. Notice that it is possible to be in both the local section and the natural section, giving a business a second opportunity to get the traffic. So out of 35,000 possible results, these three businesses will share nearly all the traffic from this search. My name is Tim Gaspar with Gaspar Insurance Services. We insure small and mid-sized businesses and handle their insurance needs. Today I am going to talk a little bit about general liability insurance, what exactly it is, and how much you need as a business owner. Having general liability insurance is the absolute basis of any insurance. I would say that if you could only afford to have one insurance, I think for most businesses general liability would be the insurance they would get. It is the absolute foundation to having your business insurance in place. Essentially, general liability insurance is the protection you have in the event you're responsible, or your business is responsible for causing damage to a person or to property. And this can happen in a number of different ways. One of the most common is with a vehicle accident. Let's say your company trucks gets into an accident. You hit somebody and damage their car, and let's say they get injured. If they file a lawsuit against you, that's covered under your general liability insurance. Along the same lines, let's say you are manufacturing a product of some kind. Let's say for instance that you are a pistachio distributor. If you distribute pistachios and the people that eat them end up getting sick, let's say you get sued in a class action lawsuit for your product hurting somebody. That also falls under your general liability insurance. So as you can see, it can cover a few different scenarios that can be extremely important in protecting your business in the event that a lawsuit like this occurs. Now when it comes to how much general liability insurance you need, there are a couple of things that dictate exactly how much coverage you want to get. For most people, especially when you are first starting out in business, usually this is going to be dictated by your landlord or the vendors that you do business with. When you move into a new place, whether it be an office or retail store or warehouse, generally speaking, your landlord is going to ask for at least one million dollars per occurrence, and two million dollars aggregate just to get started. And what those limits mean is that any single lawsuit or claim that you file, you're going to have one million dollars in coverage for that single occurrence that happens. If you are unlucky enough to have two occurrences in a single year or more, the policy is going to cap out at the aggregate. Another key thing you want to look at in regards to how much insurance you get, is how much your vendors want you to have. Let's say you are a clothing distributor, if you do business with big clothing stores like Nordstrom's for instance, they might require you to four or five million dollars in general liability insurance because they want to make sure that they are protected in the event that something wrong happens with your product. So even if you are a small business, and let's say you don't have a whole lot of assets, you may have to get a lot of coverage just to make the people you do business with satisfied with the type of insurance you have. But in other cases, unelected bureaucrats can hurt businesses that are creating jobs for you and me. New rules coming out of Washington may hurt franchised businesses. When it comes to business ownership, you often hear the terms franchisee and franchisor. A franchisor is like Subway Sandwiches. They own the brand and license it to small business people who might own one or two stores. There are literally thousands of franchisors in many different industries. Currently, if you want to open a franchised restaurant or retail store, you sign a deal with the franchisor (the company that owns the rights to the name, menu or products, and business model). The franchisee pays for those rights and agrees to maintain quality and follow certain standards. However, the franchisee is a separate business that makes its own decisions on who to hire, how much to pay, and what benefits to offer. This system has worked really well, creating more than 770,000 small businesses and supporting more than 18 million direct and indirect American jobs. Importantly, minority franchisees make up 20% of those businesses often locating in minority communities and employing minorities in those communities. Right now the National Labor Relations Board, a group of unelected bureaucrats, is trying to redefine the relationship between franchisees and their corporate partners (the franchisor). The idea is to make the bigger company and the smaller companies jointly liable for employee complaints and other legal issues. If the National Labor Relations Board successfully redefines the relationship between franchisees and franchisors, there may be far fewer new businesses and the jobs they create… because franchisors will be much more hesitant to give inexperienced people a chance at opening a franchise. After all, why would they want to be in any relationship where they were responsible for thousands of decisions made by smaller companies every week. And franchisees didn't risk their life savings to open a business, only to find out they now essentially work for the franchisor. Botton line: this new definition slams the door shut on one of the proven paths to break into the business world. Make Sense? Sometimes Washington needs to understand “if it’s not broken, don’t fix it.” Now that makes sense.
